Refund, Amendment and Cancelation Policy

Training, Assessment, and Education Services (TAE):

1.         Purpose

This policy outlines cancellation, transfer, amendment, refund and course credit conditions for all MediTactix Training, Assessment & Education services. 

2.         Acceptance of Policy

Enrolment into any course constitutes acceptance of this policy once participant details are submitted or entered via TrainingDesk, website booking calendar enrolment, upon delivery of student/participant details by the client/employer to MediTactix, or booking confirmation provided verbally or electronically unless otherwise agreed in writing by MediTactix. 

3.         Credit First Approach

MediTactix applies a course credit in the first instance where eligible. Approved credits are valid for twelve (12) months from the original course date and may be used toward an equivalent or alternative course subject to availability. Refunds will only be considered where course credit is not suitable or required under Australian Consumer Law.

4.         Public Course Enrolments – Refunds and Credits

> 10 days prior to course commencement:            Full course credit or refund.
< 10 days prior to course commencement:            
75% course credit or refund.
After course commencement or non-attendance:            
No refund or credit.

5.         Transfers and Rescheduling

   One transfer permitted with more than 48 hour’s notice at no charge.
   Subsequent transfers incur a $35.00 administration fee.
   Transfers requested within 48 hours are not permitted unless supported by medical certificate or emergency service volunteer activation confirmation or other ‘Special Circumstance’ approved by    MediTactix on a case-by-case basis. 

6.         Online e-Learning Access

Once access has been granted to TrainingDesk or any online pre-course e-Learning activity, enrolment becomes non-refundable. Course credit may still be considered at MediTactix discretion. 

7.         Automatic Forfeiture

No refund or credit will be issued where a participant does not attend, arrives late preventing participation, fails to complete pre-learning, fails to provide required identification, or withdraws after course commencement.

8.         Corporate / Group / Workplace / Business-to-Business Bookings

> 14 day’s notice:            No fee payable by client.
7 – 13 day’s notice:        
30% of booking fee payable by client.
3 – 7 day’s notice:           
75% of booking fee payable by client.
< 72 hours notice:         
100% of booking fee payable by client.
For multi-day courses, notice periods apply to the first delivery day of the booking/course.
 

9. Cost Recovery

Clients agree MediTactix may recover all reasonable associated administration and course delivery costs associated with the booking/course or the cancellation of the booking/course which may include but are not limited to:

  Staff/Trainer and Administration Wages & Fee’s

  Any Travel Costs (including kilometers, staff travel time, meals, incidentals, parking, airfares, airport transfers/car hire or other reasonable category and/or cost)

  Accommodation Fees (including cancellation, booking amendment fees, booking coordination fees, etc.)

  Already purchased, sourced or required course items, materials and consumables

  Any applicable venue hire/cancellation/amendment fee’s (if the venue was sourced by MediTactix)

  Any food or drink items purchased or associated fee’s i.e. catering for participants or courses

  Equipment freighting/transport costs

  Any other applicable fees. 

10.   Minimum Participant Guarantee

A minimum of eight (8) participants* billed at the requested course fee per participant or $850 per day applies (whichever is less) is payable by the client for any Corporate/Group/Workplace/Business-to-Business booking unless otherwise agreed in writing or delivery of a quote with the lesser ‘Total Amount’ by MediTactix. 

*HLTAID009 - Provide Cardiopulmonary Resuscitation, a minimum of six (6) participants applies instead of eight (8) as listed above unless otherwise agreed in writing or delivery of a quote with the lesser ‘Total Amount’ by MediTactix. 

11.   Trainer Cancellation

MediTactix reserves the right to cancel or reschedule courses due to low enrolments, trainer illness, venue issues or unforeseen circumstances. Participants will be offered transfer, course credit, or full refund where applicable. As much notice as possible will be given to the client or other alternative arrangements if the course is no longer able to be facilitated by MediTactix. This will be assessed on a case-by-case and course-by-course basis. 

12.   Special Circumstances

MediTactix may approve course credit or alternative arrangements where serious illness, bereavement, emergency service deployment occurs or any other ‘Special Circumstance’ approved by MediTactix . Supporting evidence may be required.

13.   Refund Processing

Approved refunds will be processed within ten (10) business days after receiving a completed ‘Refund Request – TAE Form’ from the client and new or updated client payment/banking details supplied to MediTactix via the form has been verbally confirmed. MediTactix will use the original payment method wherever possible.

14.   Payment Terms & Invoice Settlement

Payment of all invoices issued by MediTactix is required in full by the due date stated on the invoice unless otherwise agreed in writing. Failure to remit payment by the due date may result in suspension of services, withholding of certificates or statements of attainment, cancellation of future bookings, and recovery action where necessary. MediTactix reserves the right to charge reasonable administration costs, debt recovery costs, and interest on overdue amounts in accordance with applicable legislation. Acceptance of any booking confirms the client’s agreement to these payment terms.

Event Health and Medical Services (EHMS):

For clients engaging our event health and medical services, please note all Event Health & Medical Services will be outlines in the ‘Service Agreement’ once services have been accepted, please ensure you have read through and accept all terms and conditions within the ‘Service Agreement’ prior to approving the agreement:

> 14 day’s notice:            No fee payable by client.
7 – 13 day’s notice:         Up to
50% of booking fee may be payable by client.
< 72 hours notice:           
100% of booking fee may be payable by client.

Service Modification:

Changes to the scope or timing of services should be communicated as early as possible. We will make reasonable efforts to accommodate modifications, subject to availability and potential adjustment of fees.
